Welcome to Tetbury Gymnastics as a paid coaching staff member

This information hopefully will cover all your questions, but if you do have any more then please let me know. Some of this detail is also within your contract but I have tried to keep the language simpler here.

Your hourly rate of pay – This is detailed in your contract and varies depending on your qualification level so please check there for your pay rate.

The payroll month – This runs from the 15th of one month to the 14th of the next and then you get paid for that period on the 30th. So for example, anything worked from 15th February to 14th March (inclusive) will be paid on 30th March.

Annual leave – You accrue (build up) holiday entitlement throughout the year based on the hours you work from September to August, and this is paid to you in August. If you leave the club, then your holiday pay is calculated for the time you have been with us, and paid in your last pay period.

Work permit (14-16 year olds) – Any staff member in year 11 or below requires a work permit from the county council. We will apply for this for you when you start, and again each September when it needs renewing. If your regular hours change then we will also need to update this. The work permit form needs to be signed by your parent/carer and approval given by the council for you to continue working. Your work information is shared with your school who can raise a concern if your school work is not at an appropriate level.

Coaching rota – You will be added to the coaching rota, to the shift(s) as discussed with you (and agreed with your parent/carer if you are under 18). This rota is shared with the whole team when updates are made.
Please ensure that you are in the gym, ready to start your shift at your start time. This includes removing your own jewellery, tying your hair back, etc.

Code of conduct – Please read the TGC code of conduct when you start, and refresh your memory of it regularly to ensure you are working to TGC and BG standards. This includes:
  • Dressing appropriately
  • Removing jewellery (including unseen jewellery such as belly button piercings)
  • Tying hair up
  • Acting in a professional manner

Safeguarding – If a gymnast says something that concerns you, or you see something of concern, please speak to your lead coach and/or a welfare officer. Welfare officer names are listed on the notice board and can be contacted via the club email [email protected].
Coaches aged 16-17 are required to complete the BG foundation safeguarding course. Those aged 18+ must complete the safeguarding and protecting children (UK coaching) course.
Our administrator supports our coaching team to know which training they need to complete and when.

Coaches WhatsApp - We have a coaches' WhatsApp group. Those under 18 will need parent/carer consent to join it. This is an easy way for us to communicate. For example, the head coach sending out general messages, the lead coach for each session sharing the session plans, or for you to share messages with each other. Please ensure that all messages are professional and relevant to your coaching role.

Can’t make a session? – Everyone has regular shifts and we know sometimes you can’t make a session. We ask each coach to try and find cover for their shifts if they’re not going to be there. If you have planned time away, eg holidays, school exams, etc. then please try and do this in advance rather than at the last minute. However we know sometimes people are poorly and can’t make it.

The WhatsApp group is the easiest place to ask for and find cover. Pop a message up and hopefully someone will respond to say they can help. If you can’t get cover for a session, please let the lead coach for your session know and the administrator as it may be necessary for us to cancel if we can't maintain the BG coaching to gymnast ratio requirements.

Covering other coaches – We are required to have certain levels of coaching staff present at each session, so you will only be able to offer cover to someone who is of the same level of qualification as you, or lower. For example, a level 0 helper can only cover another level 0 helper, but a level 1 could cover another level 1 or level 0. If you’re not sure, please just ask and the head coach or administrator will confirm whether your offer to cover works or not.

Volunteers – We have a number of young volunteers in the club who often hope to become paid coaches in the future. You may have started out this way yourself. Please help us to nurture these volunteers. We would only expect a level 2+ to help teach them, however all our coaches can support them in giving them pointers, just like you do to the gymnasts, on how to progress and improve.
​Most importantly, they need to feel valued, and the simplest way to do that is to ensure we say thank you at the end of the session. Please help us by doing this, especially if they have been supporting you and your group of gymnasts during the session.

Training – We believe the secret to our success is our dedicated coaching team. We want to encourage the development of our coaches, showing that we value the skills and expertise they bring, whatever level they are working at.
We have a staff training policy and offer training and mentoring to our coaching team, in exchange for your continued support of the club as an active coaching staff member. Coaches need to be working a reasonable number of hours per week, and/or show willing to support by covering others, for the club to consider funding their training. Our full staff training policy is linked on the website.

Continuous professional development - Continuing professional development (CPD) is an important process and we are committed to ensuring our coaching team remain up to date on new developments within the sport, but can also expand their knowledge and skills. This often leads to progression within the coaching levels, and with that comes progression of pay as well. We encourage our staff to engage in regular CPD to ensure we're delivering quality gymnastics. For those that wish to succeed in their coaching careers, we offer support towards training and mentoring.

Leaving employment – Your contract will give you details of the notice period you need to give. You will also be expected to return any clothing or other items given to you by the club.
